Ren Human Systems, Inc. ("Ren," "we," "us," or "our") builds an AI assistant that completes everyday tasks for you: making phone calls and, with your permission, working across connected services like Gmail and Google Calendar. This Privacy Policy explains what we collect, how we use and share it, and the choices you have. It includes a dedicated section on how Ren accesses and uses Google user data.
How Ren handles your Google data
When you connect your Google Account, Ren requests only the access it needs to perform the tasks you ask of it. Ren's access to, use of, storage of, and sharing of information received from Google APIs adhere to the Google API Services User Data Policy, including the Limited Use requirements. The disclosures below describe exactly how we handle that data.
Google data we access
Ren requests the following Google OAuth scopes, and only after you explicitly grant them in the app:
- Email address (userinfo.email): the email address on your Google Account, used to create and identify your Ren account.
- Basic profile (userinfo.profile): your name and profile picture, used to personalize your account.
- Gmail (gmail.modify): read, compose, send, and organize (label, archive, draft) messages in your Gmail. Ren reads only the messages relevant to a task and acts only on your behalf.
- Google Calendar (calendar.events): view and edit events on your calendar.
How we use Google data
We use Google user data solely to provide and improve the features you ask for:
- Understanding tasks: Ren reads relevant emails and calendar events to recognize things it can help with: an upcoming flight to check into, a reservation to confirm, an appointment to schedule.
- Acting for you: when you ask or approve, Ren drafts and sends email, organizes your inbox, and creates or updates calendar events on your behalf.
- Personalization: your profile and email identify your account and tailor Ren to you.
We do not use Google user data to serve advertising, we do not sell it, and we do not use it to develop, train, or improve generalized artificial-intelligence or machine-learning models.
How we share Google data
We share Google user data only as needed to operate the features you use:
- Google Cloud Platform / Firebase: securely stores your account, connection credentials, and any cached data on Google's infrastructure.
- OpenAI: our AI model provider processes the content of your requests so that Ren can understand and complete your tasks. To carry out a task, Ren may share relevant email or calendar details with OpenAI and may grant OpenAI's secure connector delegated access to read or update the specific Gmail or Calendar items the task requires, on your behalf. Under OpenAI's API terms, data sent to OpenAI is not used to train its models.
We may also disclose data when required by law, or in connection with a merger or acquisition (with notice to you). We never transfer Google user data to any other party for advertising or for training generalized AI models, and we do not allow humans to read your Google data except with your consent, for security or to comply with the law, or where the data has been aggregated and anonymized.
How we store and protect Google data
OAuth tokens and any cached Google content are stored in our Google Cloud Firestore database, which encrypts data in transit (TLS) and at rest. Access tokens are short-lived; refresh tokens are stored only to keep your connection active. Access is restricted to your authenticated account and the systems required to deliver the service, and is protected by Google Cloud's security controls.
Retention and deletion of Google data
We keep Google user data only while your account is connected and you are using the relevant feature. You can remove it at any time:
- Disconnect in the app: disconnecting Gmail or Google Calendar deletes the stored access and refresh tokens for that service.
- Delete your account: deleting your account removes your account record, including your stored Google sign-in tokens.
- Revoke from Google: you can revoke Ren's access at any time at myaccount.google.com/permissions.
- Request full deletion: to erase all data associated with your account, including any cached Google-derived content, email legal@renhuman.ai and we will complete it within 30 days of verifying your request.
Ren's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Information we collect
We collect information that you provide and that is generated as you use Ren:
- Account information: your name, email address, phone number, and similar details you provide when you sign up.
- Connected-service data: data from services you choose to connect, including Google (see the Google user data section above).
- Task and conversation data: the requests you make, your chats with Ren, and records of the tasks Ren performs, including transcripts of phone calls Ren places on your behalf.
- Device information you grant: with your permission, on-device data such as contacts, calendar, location, photos, or health information used to complete tasks you request.
- Usage data: information about how you interact with the service, including device identifiers, IP address, and diagnostic logs.
How we use your information
We use the information we collect to:
- Provide, maintain, and improve the Ren service and complete the tasks you request
- Personalize Ren to your preferences and context
- Communicate with you about updates, features, and support
- Keep the service secure and prevent abuse
- Comply with our legal obligations
We do not use your personal data (including Google user data) to train generalized AI models, and we do not sell your personal data.
Service providers
We share data with a limited set of service providers strictly to operate Ren, under contracts that require them to protect your information. These include cloud infrastructure (Google Cloud Platform / Firebase), our AI model provider (OpenAI), telephony for placing and receiving calls, browser-automation infrastructure, and product analytics and evaluation tooling. How Google user data specifically is shared is described in the Google user data section above.
Data security
We use industry-standard safeguards to protect your information, including encryption in transit and at rest, access controls, and the security infrastructure of Google Cloud. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your rights and choices
You can:
- Access, correct, or update your information
- Disconnect any connected service, including Google
- Delete your account and associated data
- Request a copy of your data, or its deletion, by emailing legal@renhuman.ai
- Opt out of non-essential communications
Data retention
We retain your information for as long as your account is active or as needed to provide the service, and then delete or anonymize it, except where we must keep it to meet legal obligations. Google user data follows the retention and deletion rules in the Google user data section above.
Children's privacy
Ren is not intended for users under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us information, please contact us and we will delete it.
International data transfers
Your information may be processed in countries other than your own. Where it is, we use appropriate safeguards to protect it in accordance with this Privacy Policy.
Changes to this Privacy Policy
We may update this Privacy Policy from time to time. We will post the updated policy on this page and revise the "Last updated" date above, and we will notify you of material changes.
